Minutes of April 22, 2000 Special Meeting

A special meeting, as allowed in the By-Laws, was called by President, Joan Young, with the approval of Ramona Venegas. No member of the executive committee could be reached, and Ramona was the next ranking officer. The meeting was held at Ludington City Park, during the Earth Day celebration for the purpose of making decisions concerning National Trails Day.

The meeting was called to order at 3:05pm by Young. She presented options for hikes for NTD, with particular attention called to the possibility of a hike/ canoe loop from Bowman Bridge to Gleason’s Landing and back by the Pere Marquette River. Baldwin Canoe Rental has agreed to give us an extra discount over group rates if we advertise them as a cooperating sponsor on our publicity. The regular group rates are $23/canoe, $65/ 6-person raft, $15/ kayak. They will charge us $20, $60, and $15. We would need to guarantee 12 people, but would not have to have advance registrations. We could just call them when the hikers leave Bowman Bridge and tell them how many craft we need. Young proposed that the chapter pay part of the canoe rental so that people could be offered an extremely affordable outdoor experience. She suggested that we charge only $5 per person and subsidize the rest. This is contingent upon our receiving a Field Grant. She called for a vote on this plan (without a motion- oops) and it passed with one dissenting vote noted.

Young then asked the chapter to consider paying the Demo Fee for people who attend if the Forest Service does not waive the fee for NTD. There was some discussion on this, noting that at $3 per vehicle this could add up to a significant expense. One suggestion was that we would pay people’s fee who join the NCTA. The final decision was postponed until we see if we can get a Field Grant.

Venegas moved to request a Field Grant of $300 and then decide how to lower people’s costs for the event. This was seconded by Kari Hopkins. Motion passed unanimously.

Young asked if we wanted to offer 2 or 3 events for people to choose from in the morning and afternoon, noting that except for the hike/canoe trip each of the others only requires one staff person to lead the hike. Everyone agreed that 3 events was fine.

Meeting was adjourned at 3:20pm.

Subsequent notes: April 24-- The Demo Fee has been waived by the Forest Service, but the rental for the site will be quite expensive, so the Field Grant is being written for $350, with the approval of Venegas who made the motion.
